eProof notification system is an = advanced=20 and flexible system designed to notify users of various eProof events.=20 Notifications can describe events from any job/folder as well as user = and system=20 management events and be sent to any user or group. Notification = subscriptions=20 are configured by administrator.

1.=20 Overview

There are three types of = notification=20 subscriptions in eProof:

  • Job/Folder Notifications
  • Global Notifications
  • Notifications for Involved Users

Job/Folder notifications inform = of actions=20 related to jobs and folders. Global notifications deal with user and = system=20 management.

Notification for involved users = is actually=20 an offshoot of global notifications. They determine whether and which = global=20 notifications should be sent to a user that was the object of the = action. To=20 receive these notifications, the user may not be subscribed for global=20 notifications but should be configured to receive notifications for = involved=20 user. For example, " An account was created for you", "Your account was=20 modified", "Your rights were updated" are notifications sent to the = involved=20 user.

Notifications can be sent = immediately or=20 dispatched as a daily digest.


2. = Configuring Job/Folder=20 Notifications

Can be configured either in = user/group=20 details or in job/folder details.

To set job/folder = notifications in=20 user/group details:

  1. Choose Administration / Users (Groups) / particular user = (group) /=20 Notifications.=20
  2. Click=20 button Add Notifications from Job/Folder.=20
  3. Select the particular job or folder from which this user = (group)=20 will receive notifications in the corresponding drop-down combo = box.=20
  4. Check=20 the desired notification events in the Send Immediately or Send as = Daily=20 Digest columns.
  5. Click=20 Done when finished.

To set job/folder = notifications in=20 job/folder details:

  1. Click the  Information button under the = desired=20 job or folder.=20
  2. Press button Add Notifications.
  3. Select the particular user or group to receive = notifications in the=20 corresponding drop-down combo box.=20
  4. Check the desired notification events in the Send = Immediately or=20 Send as Daily Digest columns.
  5. Click Done when finished.


3.=20 Configuring Global Notifications

Can be configured both for = groups and for=20 users.

To set global notifications = for=20 group/user:

  1. Choose Administration / Groups (Users) / particular group = (user) /=20 Notifications.=20
  2. Click button Add Global Notifications.=20
  3. Check the desired notification events in the Send = Immediately or=20 Send as Daily Digest columns.
  4. Click Done when finished.


4.=20 Configuring Notifications for Involved Users

Can be = configured both for=20 all system users and for users of individual group(s). =

To set notifications for = involved users=20 of an individual group:

  1. Choose Administration / Groups / particular group /=20 Notifications.=20
  2. Click=20 button Add Notifications for Involved Users.=20
  3. Check=20 the desired notification events.
  4. Click=20 Done when finished.

To set notifications for = involved users=20 for the whole system:

  1. Choose Administration / Notifications for Involved = Users.=20
  2. Check=20 the desired notification events.
  3. Click=20 Done when finished.


5.=20 Inheriting Notification Subscriptions

For more convenience, = notification=20 subscriptions can be inherited from parent folder or from parent group. = Parent=20 folder propagates its subscriptions to child jobs and subfolders, = whereas parent=20 group assigns its subscriptions to child users/groups. As a folder/group = is=20 specifically configured to receive notifications, their child objects = can just=20 be set to inherit the subscriptions from the parent, saving admin's time = for=20 configuring all child objects separately.

While group-to-user inheritance = is=20 unconditional, folder-to-job inheritance can be enabled (default) or=20 disabled.

To set job/folder to inherit = notification=20 subscriptions from parent folder at creation = time:

  1. Choose Job Selection / Create Job (Create Folder). =
  2. The=20 Inherit Notification Subscriptions from Parent Folder option is = enabled by=20 default. Do not disable this option.=20
  3. Proceed with creating the job (folder) and click Create = when=20 finished.


6.=20 Configuring General Notification System Settings

There's a number of general = notification=20 settings applicable to the whole system. These settings enable you to=20 activate/deactivate using email notifications in eProof and specify a = number of=20 other options.

To configure general = notification system=20 settings:

  1. Choose Administration / Settings.=20
  2. Here=20 you can define the following options:

=A7        =20 "Support Emails" defines the = email=20 addresses included in the notification messages as eProof support staff=20 addresses. If users have any questions or want to modify subscriptions, = they'll=20 use this(these) address(es) specified in their messages.

=A7        =20 "Use Mail Notifications" = determines=20 whether the notification system is enabled in eProof.

=A7        =20 "Email Sending Mode" = specifies the way=20 messages to multiple recipients are dispatched. The same emails can be = sent to=20 each user discretely, i.e. multiple recipients =96 multiple identical = messages.=20 Or, single message can be sent to all users subscribed for this = notification. In=20 the single message approach, users can be shown either all in the To = field or=20 others in the CC field.

=A7        =20 "Maximum Recipients for One = Letter" =96=20 in case single message approach is opted in the option above, here you = can=20 specify the maximum number of recipients for one letter.

=A7        =20 "Digest Send Time" specifies = the local=20 time of daily notification dispatch in the format of 24.00.


7.=20 Configuring Notifications for Root Folder

Notifications for the top Root = folder are=20 shown in the Administration menu. Subscriptions for this folder are = configured=20 the same way as for any other folder. Admin can create basic = notifications for=20 the Root and then set child folders/jobs to inherit these subscriptions, = adding=20 specific notifications for users/groups separately.

 

8.=20 Disabling/Deleting Notification Subscriptions

Existing notification = subscriptions can be=20 disabled or deleted. While you can choose subscriptions to be deleted, = disabling=20 applies to all user/group's subscriptions (they can be enabled any = time). Please=20 note that you can only delete subscriptions that were created for = user/group=20 individually rather than inherited from parent group. Inherited = subscriptions=20 cannot be deleted in child objects.

To disable or delete = notification=20 subscriptions for group/user:

  1. Choose Administration / Groups (Users) / particular group = (user) /=20 Notifications.=20
  2. To=20 delete: Check the subscriptions you want to delete and click button = Delete=20 Selected.
  3. To=20 disable: Click button Disable Notifications. All subscriptions are=20 disabled.
